We're looking for an experienced, full-time Executive Assistant to join our team in Berlin and support our Co-CEOs, Lennard and Judith. You'll work closely with them as part of a young, entrepreneurial team, thriving in a fast-paced environment where you bring order to hectic schedules with a proactive mindset.
What you'll do
- Run the CEO's operating rhythm: calendar, inbox triage, meeting preparation, and follow-through. Keep the leadership cadence (weeklies, board preparation, offsites) moving.
- Plan and book complex international travel end to end, and manage the speaking pipeline: inbound requests, selection, briefing packs, and logistics on the ground.
- Become the trusted point of contact for the CEO's most important external relationships: customers, partners, and investors. Track who needs a touchpoint and protect these relationships through reliability and proactivity.
- Work half a step ahead, identifying bottlenecks before they form. Build the systems, defaults and briefings that let the CEO spend their time on judgment rather than logistics.
- Manage expenses and finance admin and support with occasional personal assistant duties as needed.
- Work in close coordination with the CEO office, including the Chief of Staff and CEO Office Manager.
What you'll need
- Previously supported a CEO or equivalent in a demanding organisation.
- Personified calmness – you bring order and help others think clearly when things get hectic.
- Good judgment – you know what matters, read people well, and understand when to push and when to give space.
- Ownership mentality – you see problems and fix them without being asked and follow through.
- Strong communicator – written and verbal, able to draft important emails and have difficult conversations.
- Trustworthy – discretion and trust are critical as you'll have access to everything and work directly with the CEO.
- Comfortable with ambiguity, short timelines, and shaping systems rather than inheriting finished ones.
