About the role
We are looking for an energetic, organized, and proactive Working Student Office Coordinator to become the heartbeat of our Berlin workspace. Balancing 20 hours a week around your studies, you will manage day-to-day office operations, support our team, and help cultivate a vibrant workplace culture.
What you'll do
- Act as the main point of contact for the Berlin office, ensuring the workspace remains professional, organized, welcoming, and tidy at all times.
- Proactively manage and restock office inventory, including kitchen supplies, snacks, beverages, and stationery.
- Liaise and build positive relationships with external service providers, including cleaning staff, couriers, building management, and suppliers.
- Oversee the functionality of office equipment and promptly coordinate maintenance or repairs when needed.
- Assist in maintaining basic workplace health, safety, and security standards.
- Warmly welcome guests, candidates, and visiting international colleagues, ensuring they have an exceptional on-site experience.
- Plan and organize weekly team lunches, office celebrations, seasonal parties, and cultural events.
- Coordinate the logistics for office access, managing key cards, fobs, and desk allocations for new starters, guests, and departing employees.
What you'll need
- Currently enrolled in a Bachelor's or Master's program at a university in Berlin/Brandenburg, with at least 1 year left of studies.
- Naturally organized, detail-oriented, and possess a "no task too small" mentality.
- Fluency in English and a strong command of German.
- Comfortable using standard workplace tools such as MS Office/Google Workspace and Slack.
- Ability to work on-site in the Berlin office across 3 days a week, with flexibility during exam periods.
