About the role
You'll join the Marketing team as an events and operations coordinator, owning end-to-end logistics for external marketing events including conferences, trade shows, and industry meet-ups, while providing operational support across marketing projects and internal company events.
What you'll do
- Own end-to-end logistics for external marketing events - including conferences, trade shows, industry meet-ups and business dinners - ensuring seamless execution from planning to post-event follow-up
- Provide operational and logistical coordination support for general marketing projects
- Assist with content and design operations, ensuring brand consistency and managing assets for various marketing materials
- Manage vendor relationships, budgets, and timelines across all events, maintaining a high standard for quality and cost-efficiency
- Shape how Payrails presents itself at external events, coordinating booth materials, branded assets, swag, and on-site logistics
- Drive the planning and coordination of internal company events, partnering with leadership and team leads to deliver memorable, high-quality experiences
- Build and maintain organised systems for event tracking, supplier contacts, and marketing operations so the team can move quickly and stay aligned
What you'll need
- Prior experience in event coordination, marketing operations, or a related role/internship - you know what it takes to bring an event to life
- Strong generalist skills and flexibility, ready to support a diverse range of marketing and operational tasks
- Highly organised and detail-oriented, able to manage multiple work streams simultaneously without things falling through the cracks
- Ability to thrive in a fast-paced, ambiguous environment and take ownership without waiting to be told what to do
- Proven collaborator, skilled at facilitating communication and aligning initiatives across teams and functions
- Strong communication skills in English (German is a plus) and ability to coordinate effectively across teams and with external vendors
- Strong eye for design and brand consistency when pulling together event materials
Nice to have
- Familiarity with project management or event tools (e.g., Notion)
- Experience working in a startup or high-growth tech environment
