About the role
Event Operations Working Student managing the end-to-end event pipeline for 25 to 35 international InsurTech events per year, from speaker coordination and logistics to post-event follow-up and asset management.
What you'll do
- Manage email correspondence with event organisers on speaker slots, booth logistics, ticket codes, deadlines, floor plans, badge info, and visa paperwork
- Schedule prep calls with speakers and moderators, chase confirmations, and ensure deadlines are met
- Handle registrations, RSVPs, side-event invites, and coordinate with partner organisations on co-marketing
- Review event materials drafted by AI or freelancers and send to print
- Collect photos and assets post-event for repurposing and review AI-drafted follow-ups before distribution
- Maintain a comms tracker per event so the team can see at a glance who said what, what is pending, and what is confirmed
What you'll need
- Professional, confident English at near-native level (C1 to C2)
- Strong organisational skills and ability to manage multiple parallel workstreams
- Experience running events, conference coordination, or similar high-volume operational context
- Ability to meet deadlines independently and catch details that would otherwise slip
- Comfort in a startup environment where priorities shift and processes are still forming
- Genuine curiosity and ability to use AI tools (Claude, ChatGPT) as part of your daily workflow
Nice to have
- Experience with project tools like Asana or Notion
- German language skills
What they offer
- 15 to 20 hours per week, 6-month contract with extension possible
